Guidelines for Vendors

Please inform your vendors of the following guidelines:

Caterers (for receptions only)

The caterer is responsible for leaving the kitchen and social hall in the same condition after the reception as before. The caterer will furnish linens, serving implements, and eating utensils. The caterer will schedule access to the Family Life Center or church grounds as required for set up and preparation for the reception. The church requires that alcoholic beverages, smoking products, and illegal substances NOT be used anywhere on church property. We ask that food not be served in dressing or waiting rooms of the buildings.

Photography

Photographs may be taken prior to or following the ceremony in the sanctuary, chapel, or on the grounds. Photographs and videos may be taken from the Sound Booth above the Sanctuary during the ceremony. Photographs may be taken from the narthex, hallways, and vestibule areas as long as aisles or passageways are not blocked. During the ceremony, no flash photographs may be taken and no camera equipment may be moved nearer to the Chancel than the 10th row from the rear of the Sanctuary. Flash photographs may be taken during the recessional from the narthex and vestibule.

Videographer

A video recoding of the ceremony is acceptable if equipment is placed discreetly in the Chancel area before the ceremony and operated by remote control. An audio recording of the ceremony will be made by the Sound Technician, Edward Jones, who may be reached through the church office. You will receive a recorded copy of your ceremony.

Florists

The Sanctuary and Chapel settings at Southside United Methodist have center aisles. The focus is on the altar or communion table. These are permanent symbols of worship and may not be removed.

Candles: The church will furnish candle stands and candles for the altar. Church candelabra may be used or brought in by the florist; Unity candle must be brought in, and all candles must be fitted with chase candle inserts designed to fit the holders. Unprotected candles may not be used on pews or other furniture.

Floral furnishings and decorations are welcome anywhere in the buildings with the following exceptions:

  • No decorations may be affixed with nails, tape, or other devices that will mar the furniture.
  • Protective cloth must be used for all clamping devices.
  • Flower arrangements may not be placed on the pianos, organ consoles, or on any other unprotected wood surface.

Arrangements for flower deliveries must be made with the Wedding Director and noted on the church calendar. Flower arrangements or other decorations which are left after the ceremony will be disposed of unless prior arrangements have been made with the church office for their use or storage.
